Who runs this website
Scott Wilkes operates this website as a sole trader. For questions about your personal information, email info@scottwilkes.co.uk.
Information you send us
When you send an enquiry, we collect the name, email address, phone number, event date and type, venue or location, approximate guest count, preferred booking option, and any optional message you provide. We use it to check availability, reply, prepare a quotation and, if you go ahead, arrange the booking. The guest count and booking option are saved with the enquiry notes in our website database.
If you leave a review, we collect your display name, private email address, optional event type, rating, review text, and whether you permit sharing on our social-media pages. Your email is not shown publicly. Reviews remain private until an administrator approves them.
Our web host may also record technical information such as your IP address, browser and the time of a request in server logs. We use a session cookie for form security and administration.
Why we use it
For enquiries, our lawful basis is taking steps you request before entering a contract. For an agreed booking, it is performing that contract. We may use limited technical records to protect the site, and summary information about past enquiries to understand demand and improve the service; our basis for this is our legitimate interests in security and running our business. We use anonymous or effectively anonymised figures for longer-term trends where possible. We do not send unrelated marketing emails to people who enquire.
We rely on your permission to publish your name, rating and review on this website. Sharing those details on our social-media pages requires your separate, optional permission. You may withdraw either permission by emailing us; withdrawal does not undo publication that happened before your request, but we will remove content we control where reasonably possible. We use your private email only to contact you about your review if needed.
Who receives it
Authorised website administrators can see enquiries. Providers of website hosting, database hosting and email may handle information to run the site and deliver replies. The public diary shows only whether a future date is unavailable; it does not reveal enquiry or booking details. We do not send customer enquiry details to TikTok for the video feed.
How long we keep it
We keep identifiable enquiry and booking records while needed to respond, manage a booking, maintain a relevant history of communications, meet legal or accounting duties, or deal with a genuine dispute. Once none of those reasons applies, the information should be deleted or effectively anonymised. Genuinely anonymous summary statistics may be kept for longer to understand demand. We do not use a blanket 12-month deletion period or keep identifiable enquiries indefinitely simply in case they may be useful.
Approved reviews remain while they are useful and your permission stands. We periodically remove rejected or outdated submissions, and you can ask us to remove your review and associated private email.
Video, social media and fonts
The Watch & Listen page loads an embedded YouTube video and TikTok profile automatically. When you open that page, these providers may receive technical information about your visit and use cookies or similar technology under their own privacy notices, even if you do not play a video. The homepage displays recent TikTok cover images, which may load from TikTok's image servers; a video player there loads when you choose a clip. Links to social networks open those services directly. The site also loads fonts from Google, which may receive a request from your browser. Some of these providers operate internationally.
Optional Google Ads tracking
If you choose “Accept tracking”, this website loads the Google Ads tag to measure visits and, when configured, enquiries from advertising. Google may receive information about your browser, visit and ad-click identifiers and may set cookies. We do not load that tag if you reject tracking. You can change your choice at any time using “Cookie settings” on the website. We remember your choice in your browser's local storage; this preference is needed to respect your decision. See Google's privacy policy for more information about Google's processing.
Your rights
Depending on the circumstances, you may ask to access, correct, erase or restrict use of your personal information, object to some uses, or ask for a portable copy. Email info@scottwilkes.co.uk. You can also complain to the Information Commissioner’s Office.
Changes
We will update this page if how we use information changes. The latest update date is shown above.
